    What to store in a legacy vault if you keep a password manager

    The split most careful people miss

    If you already use a password manager, you have solved the day-to-day problem: unique passwords, organized logins, and recovery for yourself. The next question is different. What should a digital legacy vault hold when logins already live somewhere else?

    The short answer: not a second password manager. A digital legacy vault is for materials that should be released through a controlled process after you can no longer respond—not for rotating credentials you use every week.

    Keep in your password manager

    Leave operational credentials where you already maintain them:

    • Day-to-day account logins and app passwords
    • MFA recovery codes you rotate and use
    • API keys and service credentials tied to active work
    • Emergency access contacts inside the password manager (if you use that feature for temporary unavailability)

    Those items change. They belong in a tool designed for frequent update, autofill, and personal recovery. Duplicating them into a legacy vault creates drift: two copies, one stale, both risky if someone has standing access to the wrong place at the wrong time.

    Put in a digital legacy vault

    Think in release packets—bundles of context trustees should receive only after verification—not an open browsing session of your entire digital life.

    1. Instructions for priority accounts

    Trustees often need what to do, not only how to log in. Examples:

    • Which accounts to close, freeze, or notify first
    • Which subscriptions to cancel to stop charges
    • Which services hold photos, email, or financial records worth preserving
    • Who to contact at work or for shared household accounts

    You can point trustees to the password manager for credentials while the vault holds the playbook. That separation is intentional.

    2. Documents and messages meant for release

    Letters, personal notes, scanned documents, and files you want named people to receive under defined conditions belong in the vault. These are not “passwords.” They are materials you chose for a legacy moment.

    3. Account inventories without live secrets

    A structured inventory—service name, purpose, approximate value or sensitivity, preferred disposition—helps trustees navigate without guessing. Prefer references (“credentials in Bitwarden / 1Password under label X”) over pasting master passwords or full credential dumps into the vault.

    4. Recovery notes that are not day-to-day logins

    Some notes are legacy-specific: where a hardware key is stored, how a family photo archive is organized, or how to reach a domain registrar. If a note is also an active login secret, keep the secret in the password manager and store only the non-secret context in the vault.

    5. Role clarity for trustees

    Brief written expectations—“Trustee A receives packets for household and photo archive; Trustee B receives business inventory”—reduce conflict later. Naming and acceptance happen in the product; the vault can hold the narrative context that a feature list cannot.

    What not to treat as the vault’s job

    Not a will substitute

    A will can name an executor and express legal wishes about property. It does not deliver encrypted files or run a life-check. A will does not release your digital vault. Keep legal instruments with qualified counsel; keep operational release packets in the vault.

    Not zero-knowledge theater

    Not instant “dump everything” on missed email

    The life-check is email-only. Missed check-ins start verification—extended monitoring, backup-contact notification, and a waiting period depending on configuration—not an immediate dump of data.     A practical packing rule

    Use this filter for each item you consider storing:

    1. Does it change often for daily use? → Password manager.
      1. Should someone receive it only after I stop responding and verification completes? → Digital legacy vault.
        1. Is it a legal instrument or estate instruction? → Counsel / estate documents—not the vault as a will product.
          1. Would standing access to this item create risk while I am alive? → Prefer protocol release over sharing the master password informally.

          If you cannot classify an item, default to leaving credentials in the password manager and writing a short instruction packet for the vault.

          How release packets meet named trustees

          In a release protocol:

          • You place selected materials in the encrypted vault.
          • You appoint named trustees; they accept the role.
          • They do not unlock contents merely by being named.
          • You configure an automated email life-check.
          • While you respond, nothing is released.
          • If check-ins are missed, multi-step verification runs.
          • After verification completes, designated vault items are released to verified trustees.

          That sequence is why “what to store” matters. The vault should contain what you intend to release—not every credential you own “just in case.”

          Maintenance without drama

          Life changes: new accounts, new trustees, new documents. Review packets when you change password managers, when family roles change, or on a simple annual calendar. Updating a release packet is quieter than rewriting informal notes that no one can find.
